Position Overview

The Audio Visual Support Technician is responsible for providing technical support to facilitate the use of the firm’s Audio-Visual (A/V) meeting technologies. This role also provides administrative services and backup reception support in the client space.

Key Accountabilities

  • Liaise with internal and external clients for the technical execution of in-person and virtual meetings, including pre-production planning, operating, and moderating boardroom A/V equipment and broadcasting software, with post-production editing.
  • Pre-production planning includes:
    • setting up lighting, microphones, and greenscreen backdrops;
    • arranging broadcast tables, setting presenter floor markers;
    • facilitating dry-runs and rehearsals, including making production notes;
    • corresponding with internal stakeholders to create scripts/teleprompts;
    • training meeting stakeholders and/or operation groups on the effective use of A/V equipment;
    • creating/editing webinars and registration forms on event platform enterprise;
    • building digital assets for shows (i.e., lower thirds, banners, crawls, transitions); and
    • general upkeep of webinar studio (i.e., cleanliness, safe wire-runs).
  • Production and operation of the webinar studio includes:
    • operating video broadcasting software and equipment (vMix), digital audio mixer (Central Control), and Stream Deck (multi-media controller);
    • executing live webinar broadcasts, including camera switching, real-time audio adjustments, directing and providing real-time feedback to presenters to ensure quality playback;
    • connecting, and testing with virtual presenters via vMix call, troubleshooting with technology platform providers; and
    • recording scripted videos.
  • Post-Production includes:
    • trim-editing recordings;
    • uploading recordings to Sharefile and distributing download links to appropriate stakeholders.
  • Proactively assess Boardroom Request System (BRS) booking tasks and details to ensure proper equipment is allocated for technical requests. Self-manage time commitments and coordinate with A/V Support peers and/or Supervisor to ensure all demands for service are met.
  • Act as point of contact for A/V technical support across all offices.
  • Perform testing and 1st tier troubleshooting of A/V equipment to ensure the firm’s established standards of quality and service are met. Log and report any technical issues and escalate to Supervisor and external vendors.
  • Respond to relief requests from reception and Supervisor, including operating switchboard, greeting, and directing clients, and ensuring boardroom readiness.
  • Provide off-hours technical support on a rotational basis.
  • Assist the facilities and IS teams in the setup and/or teardown of boardroom furniture and equipment.
  • Answer the firm’s emergency line to assess the nature of the emergency and ensure help is provided.

Attributes & Experience

  • Secondary school diploma or equivalent experience to successfully complete the essential requirements of the role.
  • 3+ years of related experience, preferably within a law firm or professional services firm.
  • Ability to operate equipment used in boardrooms, including built in and portable presentation equipment and teleconference units, video conferencing systems, microphones, PC’s, fax machines, photocopiers, and switchboard phones.
  • Experience with video editing and broadcast software, specifically VMix considered an asset.
  • Proficient in MS Office product suite.
  • Excellent client service orientation with the ability to manage multiple client needs at the same time.
  • Strong organizational and time management skills to effectively prioritize and meet deadlines with minimal supervision.
  • Ability to learn new technology quickly and apply knowledge to create improved processes.
  • Excellent communication skills (verbal and written) with the ability to interact with individuals at all levels within the organization.
  • Strong interpersonal skills with the ability to work well both independently and collaboratively within a team environment.
  • Sound judgment including the ability to deal with confidential information with utmost discretion.
  • Ability to remain calm and work efficiently in a fast paced, high-pressured environment.
  • Ability to lift up to 25 pounds in the movement of boardroom equipment.

This position will be in the office 5 days per week.
